Club Fee Payment Guarantee
This agreement records your commitment to pay the club fees billed for your player on this team. Fees are billed and tracked on SCAN Central: the club records each fee with its category, amount, due date, and a description of what it covers, and you see your balance on your dashboard. Payment itself is made directly to the club by the methods the club accepts; the platform records what has been paid.
1. What the fees are
- Season fees — registration and the core costs of fielding the team.
- Field rentals — the team's share of practice and match facility costs.
- Tournament fees — entry costs for tournaments the team enters.
- Equipment fees — uniforms and shared team equipment.
The club states each fee's amount and due date when it is charged, with a written description, and does not bill categories beyond these without written notice.
2. The guarantee
You agree to pay each fee charged to your player by its due date. Where more than one adult shares financial responsibility, each signer is responsible for the full amount, and payment by either satisfies the obligation.
3. Payment plans and hardship
If a fee is more than the family can pay by its due date, contact the coach or club administrator before the due date. The club may agree in writing to a payment plan, which then replaces the original due date. The club's intent is that no player loses their place over a conversation the family was willing to have.
4. If fees go unpaid
- The platform sends automatic reminders when fees come due and go overdue — notices, not penalties.
- If a fee remains unpaid more than 30 days past its due date with no agreed plan, the club may suspend the player's participation in matches and tournaments — never practices — until the balance is addressed.
- The club does not charge interest. A returned payment adds only what the bank charges the club.
- Fees paid for services already delivered are not refundable; fees for services not yet delivered are refunded if the player leaves the team, less costs already committed on the player's behalf.
5. What this guarantee is not
It covers club fees billed through team billing. It is separate from SCAN Central subscription plans, which the platform Terms of Service govern, and separate from any tournament organizer's own charges.
